Close rates fall off hard after the first few days. The call where someone finally asks for help is the highest-intent moment you will ever get with that person, and everything after it works against you.

Verification runs, the caller waits. A person in crisis who gets put on hold calls other facilities inside the hour. Worse is the callback, because a caller told you will hear back tomorrow has usually already been admitted somewhere else. The decision was not lost on quality of care. The rep is on the phone with somebody at the worst moment of their life, and their attention is on member ID, group number, date of birth, spelling a name back. Every one of those minutes is a moment off the person who needs them. Trust is what closes an admission, and trust does not get built while someone is typing.

The rep stops doing data entry

The call transcript is live, so carrier, plan, member ID, group number, subscriber name and date of birth come out of the conversation and get presented for confirmation. The rep confirms instead of transcribing. For the card, a text goes out from inside the record while they are still talking, the caller photographs it, and the image lands on the record and parses itself. Nobody reads a member ID off a phone screen twice.

No portal, no second login, no rep tabbing out of the console to retype what they just captured. The first 72 hours stop leaking

Winning the call is not the same as winning the admission. Callbacks get created and routed automatically instead of living in a rep's memory, follow-up runs on a schedule rather than on whoever remembers, and nothing waits on a VOB that came back hours ago and got attached to a record nobody reopened. The cases that slip today are rarely the ones somebody decided to lose.

That is the trade worth making. The rep's attention goes back to the person, and the record still ends up more complete than it is today.
